Correspondence Handling Associate - 6 Months Fixed Term Contract

About the PSR
How payments work affects the society we live in; the challenges faced by the vulnerable; how likely we are to fall victim to fraud; and how easily we can manage our money. Payments underpin our economy.
Behind these payments are several important payment systems. We rely on these systems to support markets, facilitate competition, and drive innovation. This helps to deliver new products, find new ways to protect people from harm,
and deliver services that give people and businesses more choice and control about how to pay and be paid.
The PSR is an independent economic regulator led by Managing Director, David Geale. We are directly accountable to Parliament and funded by the payments industry. We work closely with other regulators involved in this sector, notably the Financial Conduct Authority, the Bank of England and the Competition and Markets Authority. Operationally we are an independent subsidiary of the Financial Conduct Authority.
Purpose of the role
Every well-run organisation needs a team of operational experts behind it. This role is an integral part of the operations team here at the PSR and sits within the Chief Operating Officer (COO) division.
The operations team helps to ensure the smooth running of the PSR by supporting the operational services which enable the PSR to do business.
We help to ensure efficient use our financial resources and value for money through our budgeting and procurement processes.
The team act as the contact point for consumers, stakeholders and the payments industry when dealing with queries and complaints. We have responsibility for managing and protecting the PSR’s information as well as ensuring the PSR could continue in the time of the crisis and we even run the annual report and accounts cycle.
And we support PSR colleagues by managing operational services received from the FCA (our parent company) including technology, and our accommodation and facilities.
Key accountabilities
- Manage the PSR’s ‘Contact Us’ external correspondence mailbox and the responses
- Develop and maintain productive working relationships with FCA service providers
- Support the PSR’s procurement and finance processes,
crisis management and other operational areas working with colleagues in the PSR and the FCA Maintain and develop relevant operational policies, procedures, guidance and training
- Production of necessary management information and reporting.
- Lead and implement other allocated discrete projects and continuous improvement initiatives from the operations work programme
- Challenge convention and non-value-adding activity by recommending pragmatic improvements
- Ensure deliverables meet agreed standards and highlight key issues likely to impact work and identify and use the correct methodologies, tools, techniques to control and address issues
- Work collaboratively with and support the wider PSR team to ensure other business priorities are delivered according to scope, quality and time
Minimum
We are a signatory to the Government’s Disability Confident scheme. This means that we will offer an interview to disabled candidates entering under the scheme, should they meet the minimum criteria for a role.
- Direct experience of corporate operational roles which could include, but is not limited to, managing external correspondence, finance and procurement; production of management information and service/relationship management roles
- Proven experience of working confidently and effectively with a wide range of internal and external stakeholders
- Proven experience of Microsoft Office, particularly Word, Outlook, Excel, PowerPoint
Essential
- Proven organisational ability demonstrating management of a variety of competing tasks and issues, being flexible, prioritising appropriately
- The ability to anticipate potential issues and highlight / resolve efficiently
- Proven relationship management experience; specifically, managing delivery of services through others
- Drive, energy and tenacity to deliver outcomes against tight timeframes in a matrix environment
- Ability to deliver outcomes to agreed standards and tight deadlines, while being flexible in response to conflicting priorities
- Ability to use initiative and exercise sound judgment with minimal supervision
- Excellent organisational and time management skills
- Strong written and verbal communication skills that can be adapted to meet the needs of different audiences
