Job Title: Office Junior (Onsite)
Salary: £30,279-£33,116k per annum (Band 4 Equivalent)
Responsible To: PCN Business Manager/Head of Communications and Engagement/Exec PA/Senior Leadership Team
Hours: 37.5 hours per week onsite

Healthcare Central London Ltd (HCL) is a federation of 32 General Practices and 4 Primary Care Networks (PCNS) in Westminster caring for more than 275,000 registered patients.
We provide Community and Primary Care services to our local residents, in addition to a wide range of staffing, management and administrative support to our member practices. By working closely with our PCNs and other key partners, including the Local Authority and community Organisations, we help people to stay well and live healthier lives for longer.
We operate Federation-led services including Respiratory and Spirometry hubs; Community Cardiology; Community Dermatology; Community Diabetes service; Access E-hub and Enhanced Access and we support PCNs with managing their NWL single offer contract of services and the National Network DES contract, including ARRS roles.
We are proud to have a unique model of community-led care and support to tackle imbalances and inequality in the system called ‘The Octopus' and takes us on a journey as part of the Westminster Integrated Neighborhood Team (INT)
We work collaboratively with other partners in the commercial sector including joint ventures; research and consultancy.

Role Summary
The Office Junior will be responsible for providing administrative, operational, and support services within the GP Federation.
This role is ideal for someone seeking to gain experience in healthcare management and community services while contributing to the effective delivery of services to GP practices. The Office Junior will work closely with senior staff, handling a variety of tasks that ensure smooth day-to-day operations.
Role Requirements And Responsibilities
- Provide general administrative assistance to the senior leadership team and directors within the GP Federation
- Coordinate meetings, take minutes, and assist with scheduling and organizing events
- Send out papers for meetings and take accountability for agendas
- Handle correspondence, emails, and phone inquiries, responding promptly and professionally
- Assist teams with sending out group emails to stakeholders as required
- Management of shared email inboxes
- Assist in the coordination of services across the GP Federation, including patient services, clinician schedules, and logistical tasks
- Ensure all required documentation is maintained accurately and up to date
- Support the delivery of operational projects and initiatives to improve the efficiency of GP practices
- Assist in maintaining databases and information systems
- Support the gathering and analysis of data related to audit, performance, patient satisfaction, and service delivery
- Collate results from surveys and produce reports for teams as required
- Prepare reports and presentations as needed for meetings and reviews
- Act as a liaison between the GP Federation and external stakeholders, including patients, practices, local authorities,
and other healthcare organizations
- Ensure effective communication between teams within the Federation and support a collaborative working environment
- Take accountability for coordinating the weekly federation newsletter
- Ensure adherence to legal, regulatory, and organizational policies
- Assist with maintaining records and documentation in line with data protection and confidentiality requirements
- Support on maintaining up-to-date content on internal and external intranets
- Provide administrative support for our new practice websites offer with training provided
- Support audit and compliance processes as needed
- Contribute ideas and suggestions to improve operational workflows and enhance the quality of service provided by the GP Federation
- Take part in training and development opportunities to improve skills and knowledge
- Maintain housekeeping office based tasks such as ordering consumables; stocking cupboards and reporting issues to facilities
Requirements
Person Specification
Essential
Qualifications and Experience
- Minimum of 5 GCSEs with strong literacy and numeracy skills
- A levels or equivalent
Desirable
- Experience of working within Primary Care/NHS
- Experience of working within an office environment
- Experience/qualifications with health and safety/clinical facility management
Knowledge
Essential
- Working knowledge and a commitment to team approach
- Knowledge of various IT systems and good IT proficiency
- An understanding,
acceptance and adherence to the need for strict confidentiality
Desirable
- Knowledge of healthcare related IT systems
- Working knowledge of office processes
