First Step Vehicle Solutions is seeking a highly organized and detail-oriented Admin Assistant to join our dynamic team. You'll play a key role in ensuring the smooth operation of our van rental and sales office, providing comprehensive administrative support to our sales team.
In this role, you'll be responsible for:
- Streamlining the sales process: Schedule appointments, manage calendars, and prepare essential sales documents.
- Providing exceptional customer service: Answer and direct phone calls professionally, handle customer inquiries with a positive attitude, and take accurate messages.
- Maintaining accurate records: Process and manage customer and van rental files electronically and in paper format, ensuring data entry accuracy and completeness.
- Financial tasks: Process vehicle fines for rental customers and generate invoices through the SAGE platform.
- Marketing initiatives (as needed): Assist with creating email campaigns or managing social media accounts, depending on company requirements.
- Going the extra mile: Perform other administrative duties as assigned, collaborating with the logistics manager to transport vehicles to various locations.
To be successful, you'll possess:
- Impeccable organization: You excel at prioritizing and managing multiple tasks simultaneously, remaining calm under pressure.
- Communication pro:
Excellent written and verbal communication skills are essential for building rapport with colleagues and customers.
- Tech-savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is a must, with the ability to learn new software programs quickly.
- A keen eye for detail: Meticulous attention to accuracy is paramount in this role.
- Team player with a smile: You have a positive and professional demeanour, eager to help others and contribute to a supportive work environment.
- Time management master: Your ability to manage time effectively is crucial for success.
- Full UK Driving License Mandatory
