Responsibilities Will Include, But Not Limited To

- To inspire, engage and guide the team towards the achievement of service excellence
- To develop strong relationship with your team members along with leading, training and motivating them.
- Arrange a functional and balanced rota, ensuring that team holidays and requests are accommodated.
- Organise and execute job chats and monitor the performance of your team






- Build a strong relationship with the Client and other Service Partners within the building.
- Liaise with all departments to ensure a smooth and professional service is offered to the client
- Pro-actively communicate with the Management Team, the Client and other Stakeholders
- Ensure the correct site procedures are followed together with ensuring that the H&S; standards are met.

Main duties

Reception Management:

- Lead, manage, and motivate a team of receptionists, ensuring they provide a welcoming, professional, and efficient service.
- Set performance standards, monitor team performance, and provide regular feedback and development opportunities.
- Develop and implement training programs to maintain a high standard of service.
- Conduct regular one-on-one meetings with team members to provide support, feedback, anddevelopment opportunities.
- Manage payroll duties, ensuring accuracy and timely processing of staff hours and payments.

Meeting Room Coordination:

- Oversee the management and scheduling of meeting rooms,





ensuring they are set up to high standards and aligned with client and executive requirements.
- Liaise with various departments, including facilities, AV and IT, to ensure that all equipment and amenities are functioning properly and ready for use.
- Manage any last-minute changes or requests promptly and professionally.

Client and Visitor Experience:

- Serve as the main point of contact for high-level visitors and VIPs, ensuring their experience is smooth and exceptional.
- Address and resolve any issues or complaints in a professional manner, aiming for immediate and satisfactory resolution.
- Maintain a high level of confidentiality and professionalism, especially when dealing with sensitive information or high-profile guests.

Administrative Duties:







- Maintain accurate records of visitor logs, meeting room bookings, and other relevant information using the companys systems.
- Ensure that front-of-house areas, including reception, waiting areas, and meeting rooms, are well-presented and meet corporate standards at all times.

Collaboration and Communication:

- Work closely with building facilities, security, and other service providers to ensure seamless daily operations and address any issues promptly.
- Develop and maintain strong relationships with internal stakeholders, such as executives, management, and support teams, to facilitate smooth communication and service delivery.
- Act as the primary point of escalation for any front-of-house operational issues.

Person Specification

In order to thrive in this role,





you will need at least 2 years experience in a comparable role.

- Ideally, have at least two years of team leadership and stakeholder management in a similar role
- Have extensive knowledge of all HR procedures and protocol
- Be a proven leader who is enthusiastic about continuous development of the team and the self
- Possess a strong financial acumen and communication skills
- Have a vibrant personality who can act with integrity, highly organised, with a can-do attitude and passion for delivering high standard service
- Have great interpersonal skills and a natural ability to positively influence business decisions
- Be able to work well under pressure and have the ability to be proactive and act with intuition

- Excellent communication and interpersonal skills, with the ability to interact effectively with high-profile clients and senior executives.
- Knowledge of meeting room management systems and Microsoft Office Suite.
- Exceptional organizational skills and attention to detail, ensuring that all aspects of front-of-house operations are executed to a high standard.

Working Hours:

- Full-time position with flexibility required to cover early morning, late evening, depending on business needs.
