Executive Assistant / Office Manager
Location : West London 5 days On-site!
Salary : £45,000
COREcruitment is working with a luxury events company based in West London. The company is a well-established business managing international events! They are looking for an EA / Office Manager to join the Head Office team onsite 5 days a week in NW London.
This role is an important part of the business, and duties range from managing the Directors diaries to managing relationships with suppliers!
Key responsibilities :
Office Purchasing & Management : Ensuring that all office supplies are well-stocked and sourced from reliable vendors.
Managing office budgets and negotiating contracts with suppliers. Maintaining an organized and efficient workspace.
Diary Management (Directors) : Coordinating and managing the schedules of the Directors, ensuring that all meetings, appointments, and travel arrangements are seamlessly organized.
Handling any conflicts or changes in schedules promptly and efficiently.
Overseeing & Contributing to Company Processes : Implementing and improving company processes to enhance productivity and efficiency.
Collaborating with different departments to streamline operations and ensure all team members are aligned with the company's goals.
- Tracking Sales & CRM : Monitoring sales metrics and managing the Customer Relationship Management (CRM) system. Ensuring accurate data entry, updating customer information, and generating reports to assist the sales team in their efforts.
- Information Coordination (Internal & External) : Acting as the central point of communication within the company.
Managing the flow of information between departments and ensuring all external communications with clients, suppliers, and other stakeholders are handled professionally and promptly.
- Supplier & Venue Sourcing, Booking & Communication : Identifying and establishing relationships with suppliers and venues that meet the company's standards.
Negotiating terms, handling bookings, and maintaining open lines of communication to ensure smooth operations during events and projects.
- Annual Leave Management : Overseeing the annual leave calendar for all employees. Ensuring that leave requests are processed fairly and efficiently, and that the company maintains adequate staffing levels at all times.
- Writing Marketing / Website Content :
Creating and editing engaging content for the company's marketing materials and website.
Ensuring that all content aligns with the company's brand voice and effectively communicates its values and offerings to the target audience.
These responsibilities are essential to maintaining the high standards of service and operational efficiency that our team is known for.
Your role will be integral to ensuring the smooth running of the office and supporting the team in delivering exceptional events and experiences for our clients.
ESSENTIAL SKILLS :
- Exceptional time management
- Exceptional written & verbal communication
- Proficient using Apple & Microsoft Suite
- Previous Office Management / EA Experience
- Strong ability to work to tight deadlines and under pressure
- Organisational and coordination skills
- Attention to detail
