Job overview
We are looking for an enthusiastic, hard working team player to join the Learning and Development team at North Middlesex Hospital, t o provide professional administrative supporting the Education and Training speciality.
Apprenticeships are designed to give talented people an opportunity to gain a nationally recognized qualification while completing on the job training.
You will be supported to learn and develop the knowledge, skills and behaviours you need to perform in the job role. You will also have study time allocated within your working hours to gain your qualification.
For this role,
you will undertake a 22-month development programme as a Learning and Development Practitioner within the Learning and Development team through work-based learning and by attending regular training sessions.
Successfully completing the training programme will lead to an Advanced Apprenticeship Level 3.
This position is on a fixed-term contract with the opportunity to become permanent once the qualification is successfully completed and achieved.
Apprenticeships require candidates to be resident in the UK for at least 3 years at the start of their apprenticeship.
Please be advised if you already hold a relevant qualification in this area at this level or higher( so in Learning and Development or L & D Management) you are not eligible to apply for this particular role.
Main duties of the job
- Proficiency, literacy, and expertise with technology
- Maintain an up to date knowledge of new software and relevant applications.
- Make sure that all equipment is in good working order, reporting damaged and faulty items as appropriate
- Support the linking of Education and Learning IT systems to ensure effective working of the learning management system and other IT systems.
- Assist in the development and management of reporting systems
- Support with the delivery of the Trust’s Corporate Induction programme
- Support all administrative tasks associated with elearning with a view to increasing statutory and mandatory training compliance.
- Handle enquiries from internal and external customers via phone, email, MS Teams and face to face.
- Take telephone messages and make or confirm arrangements on behalf of the team

Detailed job description and main responsibilities
IT Training
- Proficiency, literacy, and expertise with technology
- Maintain an up to date knowledge of new software and relevant applications.
- Make sure that all equipment is in good working order, reporting damaged and faulty items as appropriate
- Support the linking of Education and Learning IT systems to ensure effective working of the learning management system and other IT systems.
IT support system
- Assist in the development and management of reporting systems
- Prepare reports extracting data from learning systems and other databases.
Corporate Induction
- Support with the delivery of the Trust’s Corporate Induction programme
- Invite staff to induction in a timely manner, through liaison with individuals, and department managers
- Recording attendees to Induction is carried out to a good level of accuracy.
Key administrative tasks
- Support all administrative tasks associated with elearning with a view to increase statutory and mandatory training compliance.
- Prepare login details for all new staff to access elearning when needed.
- Prepare quality training packs, evaluation forms, certificates (where agreed) ensuring they are available on time.
- Ensure equipment is returned in good working order and secured in a lockable area.
- Prepare and provide reports using the learning management system and other databases or information systems.
- Lead on all room booking and education center facilities tasks, including room bookings and ensuring AV equipment is serviced and appropriate for use.
General administrative tasks
- Handle enquiries from internal and external customers via phone, email, MS Teams and face to face. Take telephone messages and make or confirm arrangements on behalf of the team
- Report any faulty equipment to IT and office maintenance issues to Estates
- Administer incoming and outgoing correspondence, preparing responses as requested
- Have a working knowledge of other roles within the administration team and be prepared to offer cover and support as appropriate
- Attend Departmental Team meetings
- Supports and promotes the mandatory training agenda for the Trust.
- Promotes a positive organisational culture relating to learning and development and encourages ownership by staff.

Qualifications
Essential criteria
Educated to GCSE or equivalent Level 2 (grade C / 4)
Literacy and Level 2 Numeracy (grade C / 4)
Desirable criteria
Educated with 5 GCSEs at A* - C, 4 -9 or equivalent
Experience

Awareness of security and confidentiality relating to patient identifiable information

Understanding of healthcare information systems
Skills and Abilities
Essential criteria
- Excellent general communication skills (written and oral)
- Act on own initiative and devise approaches to resolve problems

- Skills in a range of software e.g. Excel, Access, PowerPoint.

Current and recent experience of working in a Human Resources / Training department
