We are seeking an Event Project Manager experienced in Event / Experiential agency processes. You will be the lynchpin across multiple departments and disciplines, to bring together the right talents, resources, financials on event and experiential programmes.

You will be responsible for the day to day project management of an EMEA B2B event series with event leadership to deliver operational / financial discipline, delivery excellence, speed to market, resource optimisation, and profitability management to the business.

You will play a pivotal role in overseeing this series to ensure successful delivery and alignment with organisational objectives.







This position requires a a proven track record in event project management, event delivery, and budget management. The ideal candidate will bring a combination of leadership and hands-on experience in managing large scale corporate and hospitality events.

The Event Project Manager will report to the Programme Director and work with a team of event specialists, account handlers, strategists, creatives and other departments.

You will be part of a team based in London, working on a large scale event spanning several cities across Europe.

Responsibilities :

Event Project Management

- Effectively apply agency workflow processes using available software tools.
- Produce and maintain detailed and robust schedules / timing plans
- Stay on top of changes to project scope, schedule, and unforeseen costs at any stage of projects.
- Support the day-to-day execution of event projects. In the detail of the project with a deep understanding of the event.
- Apply attention to detail and leaving no stones unturned.





Identify and foresee upcoming challenges before problems surface.

And if they do, mitigate and provide solutions in a timely fashion.

- Maintain accurate project documentation, including meeting notes, action items, and project status reports, to keep clients informed of project progress and next steps.
- Coordinate writing of executional briefs. Ensure inputs into the relevant areas of the brief and reviews final brief before sharing with internal teams.

Financial Management

Accurately scope out and provide budget estimates for projects, ensuring all pertinent information is obtained from the relevant resource within agreed timeframes.

This includes any external purchases (such as venue, AV, video production, translations etc.).







- Systematic tracking of project finances from client billing to vendor invoices and working closely with finance to ensure payments are scheduled / tracked.
- Maintain financial accuracy through project software to ensure revenue and profitability reports are precise.
- Drive commercial profitability of projects by ensuring they are delivered on time and on budget.

Resource Management

- Allocate resources effectively across events, including budget management, staffing, and external partnerships.
- Collaborate with team members to ensure work is scheduled and that resources are prioritised accordingly.
- Find and implement solutions to resourcing challenges as they arise.

Vendor Management

- Review and negotiate contracts, terms, and pricing with selected vendors,





ensuring legal compliance.
- Monitor vendor performance during event preparations and execution.
- Address any deviations from agreed terms and provide feedback for improvement

Client Management

- Communicate clearly and effectively to Clients to ensure nothing is lost in translation and to ensure accuracy of briefs through to delivery.
- Advise client lead on budgets and timelines prior to client project WIP meetings and communications to provide updates on progress and address any concerns.

Requirements :

- Bachelor's degree in Marketing, Business, or a related field.
- At least 4 years experience in event management, program / project or account management within a fast-paced event agency environment.






- Proven track record in delivering large scale corporate and hospitality events.
- Solid scoping, budgeting, financial understanding, timelines and SOWs essential
- Ensure that delivery momentum is maintained by solving problems, unblocking issues and managing risks and dependencies so that work is not held up
- Solid experience and understanding of project financial data management and the revenue recognition method of accounting.
- Confident in liaising directly with clients, collaborating with other departments to deliver events on time and on budget.
- Great time management and self-motivation skills
- Excellent communication and presentation skills, with the ability to effectively interact with clients and internal stakeholders.







Ability to resource manage regional teams whilst working with global offices to maximise creative utilisation across all regions.

- To work autonomously, and as part of a team
- Experience event / project managing in a B2B technology environment whether agency or client side a huge plus
- Strong analytical skills to assess program performance, identify areas for improvement, and implement effective solutions.
- Proficiency in using project management methodologies such as Waterfall, Kanban, Scrum would be an advantage
- Ability to adapt to changing environments and drive innovation in program management methodologies.
