Job summary

Team Administrator, Band 4, Learning Disabilities Service

Base at Firshill Rise and Grenoside Grange, Sheffield

working hours per week, the postholder will be required to work flexibly to meet the needs of the service which may include evenings.

This is an exciting time to join our service as we are currently in the process of developing our service and ways of working.

We're looking for someone who is enthusiastic, flexible, hardworking and motivated to contribute to our developing Business Support service.

In return we'll offer you a varied job, you'll be part of a well-established and supportive team which is made up of multi-disciplinary professionals such as Nursing, Psychology, Physiotherapy,





Occupational Therapy, Speech and Language, Psychiatry and Business Support.

You'll also have opportunities for training and personal development, which we're keen to support. The Learning Disabilities service offers health support to adults who have a Learning Disability who live in Sheffield, we support a fabulous range of people from a really diverse background and although it can occasionally be challenging, no two days are the same.

The Business Support Team is well valued within Learning Disabilities, and we work alongside a highly specialist team to provide a great service.

Main duties of the job

The role of the Team Administrator will be to support the Business Support Manager in the provision of high quality and dedicated administrative support to the Learning Disabilities Service.

Job description

Job responsibilities

The postholder will be expected to organise their workload, whilst working alongside the other administrative staff within the team, ensuring activities are co-ordinated to provide an efficient service in an area where workloads can be non-routine and quick changing.

The postholder will be expected to monitor and assess the workload within the administration team, identify gaps and direct resources to cover and ensure continuity of services (where appropriate and dependent on priority).

They will also act as a resource for other colleagues within the administrative team.

To deputise for the Business Support Manager in case of leave, sickness, training.







To provide support and cover for the Access & Referral Co-ordinator in case of leave, sickness, training and in case of high demand.

The role requires an experienced individual with excellent communication and organisational skills and personal credibility.

Person Specification

Knowledge

Essential

- Excellent interpersonal, negotiation and communication skills including good command of written English
- Strong organisational skills, working efficiently using own initiative
- Good understanding around confidentiality and data protection issues with regards to both clients and staff
- Ability to produce documentation to a consistently high and accurate standard (standard of grammar and spelling in application form)
- Ability to assimilate and present information in an easy to understand format

Desirable







- Ability to problem solve and seek advice where appropriate
- Ability to operate and access patient information systems
- Ability to plan and prioritise diverse workload for self and others and meet deadlines
- Previous staff management experience

- GCSE Maths and English Grade A-C or equivalent
- RSA 3 Typing / Work processing or equivalent qualification

Desirable

Good standard of general education

Experience

Essential

- Experience of using Microsoft Office packages including word, outlook, excel and powerpoint
- Good level of technical IT skills and (or with) a good understanding and knowledge of general PC hardware and peripheral support
- At least 2 years relevant experience in an administrative / secretarial role






- Experienced at dealing with members of the public / other professionals
- Detailed knowledge of secretarial and office systems, setting up and improving office systems

Desirable

Experience in NHS or similar role

- able to work under pressure in a changing environment
- Capable of working unsupervised and also as a team member
- Experience of working in a learning disability setting
- A positive approach to people with a learning disability
